What's New in EMS Enterprise 5.0
New Reservation Wizard Functionality1 A number of enhancements have been made to the Reservation Wizard, including: Dynamically assigned red dots denoting required fields that do not have entries, additional fields that can be required (Calendar Style, Fax and Web User), minimum and maximum capacities and Available All Day indicator on second window, ability to set reservation-level User Defined Fields, and more.
Additional Data Import Options1 EMS has always been a system that communicates well with other programs, either through true integration or some form of data sharing. Additional data import options now allow you to bring in lists of rooms, reservations, groups and holidays, simplifying data definition and maintenance.
Tighter Integration with Microsoft Outlook®1 Sending email from within EMS is now easier than ever! Access your Microsoft Outlook contacts – as well as the contacts in your EMS database – with just a click.
New Interactive Floor Plan Capability2 With this optional module, interactive floor plans allow users to search for available space or find colleagues’ work sites on a visual depiction of the office space.
Numerous Navigator Improvements1 EMS users tend to spend a lot of time on the Navigator window, so our product development team does too! New features include an Event/Reserved Time display option, room availability indicator when moving a booking, the ability to open a booking into the Reservation Book, alerts on comments and resources, a reservation history report and more.
Powerful New “Web Process Templates” for Virtual EMS2 These new templates allow you to create highly specialized room request process flows based on the type of space, event or group. Create "Book a Ballroom", "Book a Meeting Room" and other Virtual EMS menu options, each supported by a unique template with different booking rules, for example.
New Resource Statistics Report1 Get a better handle on resource utilization with the new Resource Statistics report, which lists all of the resources used during a specified period, showing quantity and total hours used for each item.
Customizable Window Layouts1 Changes a user makes to the layout of any window in EMS are now saved and used the next time the window is opened. From resizing to rearranging columns – set the system up in the way that works best for you.
Kiosk Overhaul1 The EMS Kiosk has been redesigned with enhanced hoteling functionality and new tools for meeting and event space booking.
Streamlined Navigator/Reservation Book Option Maintenance1 A new window for maintaining Navigator and Reservation Book options is now available, making it easier to set and modify both the existing options and a number of new ones.
Override Existing Bookings Utility1 This powerful tool, which allows EMS system administrators to change the status of all bookings in a particular room for a specified time period, is indispensable when a room must be inactivated for remodeling, repairs, etc.
Sales/Statistical Charting in Query Builder1 Sales/Statistical figures generated through the Query Builder can now be displayed and printed in chart form.
Instant Access to Essential Follow-up Items1 The new Dashboard window lists reminders, notifications, web requests, wait listed bookings and more to help you stay on top of all event-related tasks.
Redesigned Virtual EMS Interface2 The web is changing every day, and Virtual EMS is changing with it. The system has been rebuilt to take advantage of new web development technology that creates a richer, more robust user experience.
Multiple Reservation Book Enhancements1 Already one of the most widely-used tools in the system, the Reservation Book is now even more powerful. Numerous enhancements have been made to "the Book," including: current time indicator; filtering by floor, room type and specific room; new tool tip options (Services, Total No. Bookings and First/Last Booking); printable weekly view and more.
Reservation Book Auto Refresh Option1 See up-to-the-minute information in the Reservation Book without ever having to click Refresh! With the new auto refresh option, you simply select the frequency with which the system should check for new information and it provides an updated view of facility use throughout the day.
New Tool for Managing Memorized Reports1 A new tool gives administrators more control over memorized reports, allowing them to change the owner of a memorized report, set whether or not the report is public or delete the report.
More Functionality for Event Types1 Comments and reminders can now be tied to event types. When the event type is selected for a reservation, the associated comments/reminders are automatically applied. Also, event types now have user-specified colors, and the Reservation Book can be set to display event type colors (rather than status colors) if desired.
Greater Control over Resource Locations1 It doesn’t make sense to reserve a portable sound system for use in a room that has one built in or to book an item that isn’t available for the space you are in. You can now indicate, by room, resources that are incompatible with or unavailable in that room, ensuring that visitors get only the items they need and can use in a particular space.
Simplified Access to Web-Based Info1 URL fields throughout the system (including new ones on buildings and rooms) now convert entries to clickable hyperlinks, making it much easier to access information on the reservation, group, etc. that is being edited.
