Virtual EMS provides fully interactive, real-time access to scheduling information
via the internet or your organization's intranet. Website visitors can browse the
calendar or search for specific events from any computer with an internet browser.
Authorized users (employees in your organization, meeting organizers, facility staff,
etc.) can, depending on the level of access granted, submit room requests or create
self-service reservations directly from the web through a secure, user-friendly
interface.

Microsoft Exchange® Server Integration
Virtual EMS can now be integrated with Microsoft Exchange® Server, allowing users
to view the Microsoft Outlook® calendars of people they intend to invite and thereby
simplify the process of meeting planning. This option provides the ability to confirm
attendee availability, find an available room, request services like catering, and
schedule resources like A/V equipment all from one centralized location.
Integrated Authentication™
This optional module establishes the tightest integration possible between Virtual
EMS and your network or web portal. Integrated authentication works with Microsoft
Active Directory or your custom Web portal to streamline Web account maintenance
for administrators and eliminate extra steps for end-users.
HR Integration Toolkit™
This behind-the-scenes utility keeps contact information in EMS up-to-date, synchronizing
it with another system that contains employee data (HR database, Active Directory, etc.).
This module can automate the maintenance of contact names, email addresses, billing
information, web accounts and more including additions, changes and inactivations. The
toolkit includes up to one day of remote consulting to configure and fine tune the
integration for your environment.
Video Display Interface™
Imagine automatically displaying your EMS schedule of events on television monitors
or electronic signage in your facility. The Video Display Interface, which is available
for EMS Hoteling, exports scheduling data in formats that are compatible with some
of the more popular video display systems on the market including Symon TargetVision
(www.targetvision.com),
Janus Computerized Displays (www.janusdisplays.com)
and more. There is even an option to export scheduling data formatted for use with
Microsoft PowerPoint®. Although we do not sell display system hardware, we would
be happy to discuss your needs and share information on some of the systems that
our customers use.
Another option to consider is AxisTV from Visix, Inc. (www.visix.com). AxisTV eliminates the need for our Video
Display Interface by connecting directly to your EMS database and displaying the

RoomWizard Interface
EMS Hoteling can be interfaced with PolyVision RoomWizard™ units,
which serve as electronic room cards and allow walk-up reservations. With this
integration, users have the option of booking a room either through EMS or from
the RoomWizard touch-screen display mounted outside a conference room. The RoomWizard
always shows the current schedule and a convenient red or green
light indicates whether the room is occupied or available. By combining advance
reservations in EMS with on-the-spot bookings from RoomWizard, organizations can
eliminate scheduling conflicts, optimize room utilization, and track impromptu usage.
