New Year, New Newsletter
Happy first newsletter of the New Year! To start 2012 off fresh the Reservation Times has been revamped with a whole new design and with a whole new name: EMS Quarterly. As previously mentioned, EMS Quarterly is now offered in two versions, starting with this edition.
This version of the EMS Quarterly focuses on issues related to scheduling space internally for your staff: video conferencing, streamlining meeting scheduling operations, etc. The new format allows us to better address the varying needs of all organizations and provide more in-depth articles related specifically to your scheduling needs.
Interested in the other version of the EMS Quarterly, which is focused on issues related to scheduling space for customers or guests who are coming in from outside your organization? From Denver to Darjeeling: Bringing the World Onboard in 2012 and Beyond
While EMS products are used in more than 75 countries (and counting) around the world, the majority of our business is with organizations in the U.S. However, it’s very clear from our dealings abroad that the streamlining of scheduling/calendaring/registration operations and the optimization of space utilization is as critically important in Darjeeling as it is in Denver. And in 2012, we’re going to look to share that message more actively overseas.

To that end, we’ve tasked one of our newest staff members, Steve Wilkinson, business development manager, with raising our international profile in the year ahead. Born in the UK, raised in South Africa and an international traveler for much of his career in software, Steve brings a great global perspective to his job.
"While software like EMS certainly is not a new concept in other parts of the world, I think it’s fair to say that few countries have the high implementation rate that we do in the U.S. And therefore, only a fairly small percentage of organizations overseas are experiencing the very real benefits of managing their rooms and resources, and coordinating meetings and events, more efficiently," he says.

"As I began to familiarize myself with Dean Evans & Associates during the interview process, it was clear that the company (now my company) has a very ‘mature’ product line and supporting materials. In fact, that maturity made it surprising to me that the company had yet to truly leverage its industry leadership internationally," he adds.
"I feel that EMS can make a huge difference in how non-U.S. organizations operate. And the beauty of interacting with scheduling professionals outside our borders is that our company, and our American customers, will benefit from the diverse perspectives and unique scheduling processes we are sure to encounter."

Nice to Meet You (Virtually)
Scheduling meetings with employees, partners, clients or business prospects can get a bit tricky…and pricey depending on travel. More and more organizations, including our clients, are using video conferencing in an effort to save time and money.
One client in particular that takes advantage of video conferencing is a federal agency that uses EMS Enterprise to manage about 50 video conference interviews per day. The agency has had to deal with a large case load, conducting interviews across five separate locations. The agency’s use of EMS has made it possible to manage over 5,000 video conference meetings annually!

How Open is Your Business?
More and more, businesses seem to be reworking their office space to create an open floor plan for all employees; this includes us at Dean Evans & Associates. Two months ago our company moved into a new building with an open floor plan – no more cubicles – and we haven’t looked back.
Since moving into our new space, we found that our open floor plan allows for more effective use of space, and also encourages openness and transparency. And we’re not the only ones; a recent study by Harvard Business Review showed that organizations are moving toward an open floor plan with fewer cubicles and more meeting space. The study showed that one organization, after transitioning to an open work space, experienced a 50% decrease in emails and created a more stimulating work environment.
Another study done by Teknion Corporation in collaboration with CoreNet Global, Jones Lang LaSalle and Cisco found that 77% of businesses are increasing workspace utilization through "open, collaborative workspaces with fewer offices."
With organizations opting for fewer offices and more meeting space, EMS is the perfect software solution to handle the scheduling of current and future workspaces.

EMS: Coming to a City Near You
In the coming months we’ll be kicking off the first-ever EMS Roadshow. The roadshow will stop at various cities throughout the US, with the first round of stops focusing on our corporate, federal and military customers and prospects. The goal of the roadshow is to provide current customers and prospects with the opportunity to share best practices with one another and provide us with input on how EMS can even better meet their scheduling and calendaring needs.

Hidden at HIMSS: Small Booth, Big Impact on Your Scheduling Operations
If you’ve ever been to the Healthcare Information and Management Systems Society tradeshow, you’ll understand how it’s easy for a vendor to be “hidden at HIMSS”. Companies worth billions spend huge sums to create ginormous “tradeshow booths” (two-stories high, in some cases) and give away lavish gifts (luxury sports car, anyone?) to draw attention to their products and services.
Tucked in the middle of all the opulent displays, our booth will provide information on a product line that, while not flashy, can have a big impact on a healthcare facility’s scheduling and calendaring operations.
