EMS Lite Options

Resources Module

This optional module for EMS Lite allows you to define, group and track resources such as audio visual equipment, furniture, food, etc. When a user selects inventoried resources for a booking, the system assesses availability and issues a warning if the item will be overbooked. Resource requirements are printed on Confirmations, the Setup Worksheet and a Resource Schedule report.

If you need to manage separate pools of inventory, multiple service times within a booking or outside service providers, you should consider EMS Professional or EMS Enterprise, both of which include more sophisticated functionality for services and additional options for delineating resource inventories.

Billing Module

This powerful, optional module for EMS Lite allows you to define standard pricing for rooms and resources (requires the Resources Module), extends and prints a grand total of charges on the Confirmation, and provides a printed Invoice for your customers. A Billing Reference field makes it easy to track charge codes on each reservation while the Sales by Billing Reference report facilitates the processing of charge-backs.

If you need multiple pricing plans, automatic calculations or complete accounts receivable (including deposit and payment tracking, ageing report and statements), you should look at either EMS Professional or EMS Enterprise.

Virtual EMS™ (Web Requests/Reservations, Facility Information)

Leverage the power of the internet with this module for EMS Lite. Virtual EMS provides fully interactive, real-time access to scheduling information via the internet or your organization's intranet. Website visitors can browse your building schedule or search for specific events from any computer with an internet browser. Authorized users (employees in your organization, meeting organizers, facility staff, customers, etc.) can, depending on the level of access granted, submit room requests or create self-service reservations directly from the web through a secure, user-friendly interface.

Language Translation Module

Microsoft® Exchange Integration

Virtual EMS can be integrated with Microsoft Exchange to streamline the process of arranging meetings. With this optional module, meeting coordinators can view the availability of both attendees and meetings rooms, send Microsoft Outlook®-compatible meeting invitations, and order any necessary A/V equipment or food services -- all from a single, intuitive interface.

Integrated Authentication

This optional module establishes the tightest integration possible between Virtual EMS and your network or web portal. Integrated authentication works with Microsoft Active Directory or your custom web portal to streamline account maintenance for administrators and enable single sign-on for web users.

Video Display Interface

Would you like to automatically display your EMS schedule of events on digital signage throughout your facility? By adding the Video Display Interface (VDI) to your EMS system, and using it to interface with one of many popular digital signage systems on the market today (refer to our Digital Signage Partners), you can do just that. There is even an option to export scheduling data formatted for use with Microsoft PowerPoint®. Although we do not sell digital signage hardware, we would be happy to discuss your needs and point you in the right direction.

As an alternative to relying on the VDI module, some of our digital signage partners have designed their systems to connect directly to your EMS database in order to read and display the schedule of events in near real-time. Please contact the following partners for complete details:

RoomWizard Interface

EMS Lite can be integrated with Steelcase RoomWizard™ devices, which are digital room signs that can allow walk-up booking of space. With this integration, users have the option of reserving rooms in advance through EMS or booking on-the-spot from RoomWizard's touch-screen at the conference room. RoomWizard shows the room's current schedule and provides a convenient red/green light to indicate whether the room is occupied or available. By integrating these technologies, organizations can eliminate scheduling conflicts, optimize room usage, and track impromptu use of space.
